What Does A Wedding Planner do?

The Initial Meet Up

This is when the Planner and the Client have a chat for the first time and determine the " Five Ws plus How" of an event:
  • When - is the event
  • What - kind of event is it
  • Where - will it be held
  • Who - will be attending
  • Why - is it taking place
  • How - much is the budget 
From these questions, the Planner will then get a rough idea and picture of how the Client would like the event/ wedding to be. What decor goes with the theme, how to secure a venue that can accomodate the number of guests and so on.

And then...
She or He will proceed to source and secure the vendors or service providers such as event decorator/florist, photographer, sound & lighting, entertainment and the list goes on; all the time ensuring that the wedding budget is maintained. Budget is almost a god in a wedding/event planner's life.

With a pool of reliable service providers, quotations will be submitted to the client who will make the final decision on which vendor suits their budget and requirements. Once the client has selected the vendors, the Planner proceeds to keep track of all details and payments made by the client to the vendors. Special requests made by clients must be relayed to vendor asap and constantly updating the client & vendors alike to ensure everyone is on the same page...so to speak.

The list of things to do for a planner does not stop here... it is endless. Advice on design of the wedding invitation, choices of flowers to suit the style of the theme and what flowers are the bride's favourite or don't like, colours of linen available at the venue. There are times when we draw up a rough scale of the venue so that the client and family are able to understand the layout and how to ensure the guests will be seated comfortably. On the day of event, minor changes to the decor will definitely happen. This is because on paper and actual deliverables of the day are two different things. Insufficient plug-points for lighting, colour of flowers differs from what was ordered to name a few.

The biggest problem is the guest list... if the client would like to have assigned seats there will definitely be changes upon changes until the very last day before the event. Infact, this Planner has not once in her eight years of being a wedding planner, had a guest list that was completed and firm before the day of event. Even on the event day, there will be changes and the Planner needs to notify the registration ushers and maybe even the banquet team if the changes involves special dietary needs. 

So in PDP's service package, our wedding planning package comes with wedding day coordination which then leaves the client and family free to enjoy the celebration and be with their friends. Program will be created to suit the wedding entertainment, speeches, videos and sometimes organise a game or two for the guests.

In short, we are the middleperson between the bride and the vendors, ensuring their wedding day is hassle & stress-free, on-the-spot problem-solver, arbitrator (sometimes...) and ultimately making sure that it is one of the happiest day for the bride & groom ... and family too!

The Story

Asmaziah (or As to me) works in Brunei and Cheng (Adam) works in Houston, USA and the wedding celebration was to be held in Kuala Klawang, Jelebu, Negeri Sembilan; the hometown of the bride. Since her parents are elderly and her siblings are also working 9-5, there is no one who could assist As in the planning stage which she then sought the services of PDP seven months lead time prior to event. With only 4 meetings with As, the almost daily "Whatsapp" chats and countless emails, PDP planned & coordinated her special day with everything that she wanted.

Local Caterer (Rohani Event Catering) was based in Seremban which is in the same state of Negeri Sembilan whilst the rest of the suppliers came from Kuala Lumpur. Decor requirement from As was she wanted the Solemnization Dais (held at Hotel Sri Klawang, Jelebu) to be a fusion of Oriental and Romantic theme so that it does not look awkward for the Tea Ceremony - a case of 2 in 1 decor without having 2 stages for each ceremony. Artificial Cherry Blossom branches (it is not the season for cherry blossom in October!) at the backdrop of the dais and surrounded by Phalaenopsis Orchids in oriental pots, flanked by the Hantaran gifts on the sides of the stage created a stunning but clean-look to the ceremonies.

The Details

The only available venue in Kuala Klawang was the Dewan Besar Majlis Daerah Jelebu which As requested the walls to be draped to reduce the colour yellow in the hall. It can comfortable sit 500 guests but since we had buffet service, we had to knock off about 8 tables in order to create space for the buffet line. The hall has air-condition so it was quite comfortable for the guests (we live in the tropics!). Again, As does not like a cluttered Grand Dais, suffice with simple lines of flowing fabrics in her favourite colour - you guessed it, PINK! Abundance if not overflowing with flowers, Arjuna Cipta created a focal point of warm silver frames that even looked 3 dimensional in photos. Wedding Favors or Door gifts were personalised Sticky Candies for the younger generation and fondant sugar cookies by Maji from Pink Oven Cakes for the elderly. We placed personalised stickers on all door gifts. Photobooth with a simple backdrop for guests to take a Polaroid photo and place it in the guest book along with wishes for the groom and bride who will be moving to Houston soon to join her husband. As and I called it the Insta Guest Book.

REAL WEDDING: Melissa & Amin, 25th May 2013

Pn. Zai wanted all white & green theme in the beginning. Green to be as natural as possible and as close to the forest green that was surrounding their home in Taman Malawati, Kuala Lumpur. As we get to a month prior, client added black trimmings to the colour scheme to break the monotonous.

The challenge this time was not so much the decor part as I had every confidence with Arjuna Cipta being able to deliver what the client wanted but the placement of the canopy. As the bridal residence was an intermediate one, and the garden/patio is at the back of the house which was on the 2nd level of the house... confused yet? Yes, it was a bit confusing to the canopy supplier to erect the canopy as well as for the caterer to set up the buffet line. Since the only way in and out was through the front door, the canopy supplies were carried from ground floor to the garden on the 2nd level. There were heart stopping moments for me as I watched the those boys climbed the long ladder on the steep wall, propped up from their lorry. The Big Onion Caterer staff came a day earlier to set up the buffet line and store their supplies at the lower level as the space available was not enough to accommodate their tools and set up 'base' for storage. With guests arriving at 9.45am and ceremony was scheduled to start at 10.30am, it was imperative that the set up was done a day prior and that food delivery was to arrive at 8.30 am on event day. 

Arjuna Cipta did a good job once again and client was extremely happy with the Main Entrance decor which was unplanned and was a last minute decision by me and agreed by client & decorator. Since we didn't have any canopy (an indication of a wedding in most cases) up front, the decor at the gate was the best idea we had. I was praying hard that the wild monkeys who resides in the jungle opposite the house didn't find the flowers too tempting and my prayers were answered. The flowers were still intact when I arrived at 7.30am on event day and most guests used the floral decor there as indicator to the event Although, a few of the monkeys was kind of curious about the goings on during the arrival of the groom where a couple of them were watching directly across the main entrance which made yours truly rather nervous... Nevertheless, all went well, alhamdulillah and what's important was the client was very happy with our services plus the family was very helpful and accommodating to us. Thanks, Kak Zai!

REAL WEDDING: Shafini & Harriz, 14 & 16.2.13

Simple. That word alone describes what Shafini likes and how she'd would like her wedding to be. Lots of fabrics, ribbons and sheers for the decor. Peach was the selected choice with a bit of pastel florals to complement. 

Watercolour motif for the wedding stationery which PDP then incorporated it with the wedding favors thank you tag and LCD image at Setia City Convention Center. All photos were taken by PDP unless stated otherwise.
